Most businesses start with the app. That's fine. If someone tells you you've "been doing WhatsApp wrong" because you're on the app, ignore them. For a lot of small businesses it's exactly right. It's free, it's on your phone, and it lets you reply personally.

The question is whether it still fits what you're trying to do. Usually the answer changes when you start running webinars, challenges or events, and the number of people you need to follow up outgrows your thumbs.

Signs you've outgrown the app You're copying and pasting the same message to dozens of people after every webinar. Leads message you at 6am or at the weekend and wait hours for a reply. More than one person needs to answer messages and you're passing a phone around. You can't tell which leads came from which campaign. You've had a warning about your account, or people are blocking you because broadcasts feel spammy.

If two or more of those sound familiar, it's time to look at the platform.

What the platform changes, and what it doesn't The platform gives you the tools to reply instantly, qualify leads, send reminders and hand people to a human at the right moment. It doesn't decide what those conversations should say. That's still the bit that makes the money.

It also brings rules. Messages you start outside the 24 hours after someone last messaged you must use a template that Meta has approved. Marketing messages need clear permission. And a new number needs warming up gently: start with people who know you and build volume over weeks, not days. I've covered the rules in can using WhatsApp for marketing get your number banned?.

How you get on the platform You don't sign up with Meta directly in most cases. You go through an approved provider (often called a BSP) that gives you the inbox, automation tools and support. We use WATI, with Astra for AI conversations. Other good providers exist, and the right one depends on what you need to connect to. I'm a WATI partner and may earn a referral fee through our link, so weigh my opinion with that in mind.

Costs are covered in detail in how much WhatsApp for sales costs in the UK. In short: roughly £100 to £250 a month for the platform tools, plus pennies per message.

Can I keep my existing number? Usually, yes, but check the details before you move. Historically, a number moved to the platform could no longer be used in the app. Meta has since introduced ways for some providers to let a business use both on one number. Ask your provider exactly what happens to your chat history and your phone app before you switch.

Frequently asked questions

Is the WhatsApp Business API free?

No. The app is free. The platform, often called the API, has a provider fee and Meta charges per message, though replies to customers who message you first are free up to a monthly allowance.

Can I automate the WhatsApp Business app?

Only a little: greeting messages, away messages and quick replies. Anything more, including AI replies and automated follow-up, needs the platform. Unofficial tools that automate the app risk getting your number banned.

How many people can I broadcast to on the WhatsApp Business app?

Up to 256 contacts per broadcast list. On the platform, there's no fixed list limit, but how many people you can message is governed by your quality rating and messaging limits.

Do I need a developer to use the API?

Not usually. Providers like WATI give you a dashboard. You need someone to design the conversations and set them up, which can be you, a freelancer or a specialist.
