A faster, more personal WhatsApp admissions journey for a global education provider.

The problem

Families were making a decision before reception came online.

The school attracted families across time zones, while its admissions team was aiming to respond to enquiries within 24 hours. When a parent had already contacted several schools, that delay was more than an operational nuisance. It was the difference between a useful conversation and a lost family.

The job was not to replace the admissions team. It was to capture the question immediately, give a parent a warm and relevant first experience, and make the human follow-up more useful when it happened.

What we built

An admissions journey that let a parent choose the route.

The system opened on WhatsApp with a welcome video, then allowed a parent to choose the area they cared about: curriculum, enrichment, boarding, admissions, prospectus information, jobs or a question. Each path combined staff and student-led video with concise context and a relevant next step, including the option to book a tour.

The result was designed to feel like a well-prepared admissions conversation, not a website chatbot trying to impersonate one.

The 14-day figure covers the initial enquiries captured after the journey went live. The enrolment and first-year revenue figures relate to what those twelve enquiries later became, not a claim that every enrolment completed within the same two-week window.

What it did not change

A better first response is not a substitute for safeguarding.

WhatsApp was used for admissions marketing and early-stage enquiry handling, not day-to-day communication with existing families. The school retained ownership of its devices, numbers, consent and safeguarding process. Existing parents were directed to the proper school channels, and staff remained responsible for the conversations that needed judgement.
